To ensure a smooth start with WILSON, we recommend working through the following steps. This will help you set up the system efficiently and get the most value from its capabilities from day one.
Create users
Start by adding all relevant users to the system. This will typically include all employees, drivers, controllers, planners and team members who will be working with WILSON in day-to-day operations.
Set up competencies and qualifications
For each user, you can store relevant competencies such as certifications, traction or rolling-stock knowledge, route knowledge, or site approvals.
This creates the foundation for better planning and allocation, and enables WILSON’s intelligent features such as driver matching and shift validation.
Create organisational units
Organisational units represent parts of your business, for example departments, depots, projects or locations.
This is particularly important if multiple teams or sites are using the system. Organisational units are also used to control access rights and permissions within WILSON.
Manage services
In this section, you define the services you deliver to your customers – for example train services, possessions, site coverage or other operational activities.
Having services defined clearly and consistently makes downstream planning and customer billing significantly easier.
Create and manage shifts
Here you create internal work assignments for your workforce. You can link shifts to the previously defined services, as well as add additional activities such as briefings, travel time or standby duties.
Shifts can also be created without linking them to a specific service where required.
Shift series and rostering
Using the dedicated module, you can create recurring shift patterns over a defined period and at set intervals.
You can also build and roll out rolling rosters for a defined timeframe, which is particularly useful for long-running projects or framework contracts.
Shift timeline and intelligent driver search
This is where planners and controllers assign staff to shifts. Assignments can be explicitly approved before they are finalised.
Once approved, employees receive notifications directly on their smartphones.
Live shift
The Live Shift feature is designed for operational staff on the ground. Employees can record their working time live during the shift.
Using chat, comments and operational reports, they can stay in direct contact with planners or controllers throughout the shift.
8. Add-on modules
8.1 Payroll
Based on recorded working times, the Payroll module supports the preparation of payroll data for employee remuneration.
8.2 Billing
With the Billing module, you can invoice your customers for delivered services, based on recorded working hours and completed activities.
