Transfer and Payout of Overtime at Year-End

Summary ๐Ÿš€

At the end of the year, you often need to decide how existing overtime accounts should be handled โ€“ whether hours are carried over into the new year, paid out, or balanced. For exactly this purpose, a new feature is now available in WILSON that makes this process significantly simpler and more transparent.

The result: less manual effort, clear booking logic, and a clean, traceable transfer of overtime accounts at year-end โ€“ even when managing large numbers of employees.

How does it work?

Directly on the working time page under Payroll > Working Times, you can select multiple users and edit their annual working time accounts in bulk. Using the new action โ€œTransfer overtimeโ€, a dedicated editing area opens with a clear table. Here, you define the effective date of the transfer and specify to which accounts carryovers, payouts, or balance adjustments should be booked. This ensures it is always clearly traceable later on where each booking has been applied.

To speed up processing, bulk actions are available: you can carry over all hours, pay out all hours, or balance negative accounts โ€“ each with a single click. Alternatively, you retain full control to define individually how many hours per employee should be transferred, for example if you want to carry over a fixed number of hours into the new year for everyone.

Automatic Carry-Over of Unused Vacation Days to the Following Year

With this new setting, you can centrally define whether unused vacation days should be automatically carried over into the next calendar year. Once activated, the rule applies to all employees across the company.

The carried-over vacation is automatically included in the calculation of the current leave balance โ€” no manual allocation is required.

Important:

๐Ÿ‘‰ This feature does not include additional logic such as automatic expiration of carried-over days after a certain period. If your company follows such rules, adjustments must still be made manually in the leave balance of the affected employees. Nevertheless, the new setting significantly reduces manual work during the year-end transition.

๐Ÿ‘‰ The behavior for 2025 remains unchanged; the rule will apply for the first time with the transition from 2025 to 2026.


๐Ÿš€ Preview: New Product Logic for Orders and Billing

With an upcoming release, we are introducing a new product logic for orders in WILSON. 

The key benefit: once defined, billing logic can be easily reused and independently assigned to multiple contracts and orders โ€” without any technical setup.

How it works?

As part of the transition, the JSON billing rules that were previously stored per order are bundled into clearly named products. Each unique combination of contract and billing rule becomes its own product, ensuring that no existing data is lost and current billing remains unchanged.

Orders will no longer be linked to technical rule sets, but to products instead. When creating or editing an order, you can select a product from your existing product list and assign it directly. The pricing and billing logic defined in the product is then automatically applied to all related activities and shifts.

This preview already gives you a transparent overview of orders and their assigned products on both project and customer level, and lays the foundation for significantly simpler and more reusable billing in WILSON.
